Senior PMO Analyst

Location: Based across our offices in London Bridge, Streatham and remotely as we move to a hybrid model of working

About the Role

Operating predominantly at the Portfolio level, taking a proactive approach towards optimisation of the Portfolio. Raising Portfolio risks and issues with the Portfolio Managers in the 1st instance then with other stakeholders as required, identifying interdependencies, reporting anomalies and areas for improvement. 
Ensuring that governance (frameworks, terms of reference, templates, etc) and best practice are applied strictly and appropriately by the PMO Analysts and are reviewed on an annual basis.

Working with the Portfolio Office Manager, Portfolio Managers, Programme Directors, and other stakeholders to agree PMO resource assignment to programmes and projects. Working with the CIO Operations & Planning Manager on resource & capacity management.

Under three main categories, the successful candidate will;

Portfolio Support Services

  • Ensure support for Governance meetings (Portfolio Board, Strategic Design Authority and Change Investment Committee)
  • Support the Portfolio Managers in the portfolio prioritisation process
  • With the Portfolio Managers, develop and maintain the Portfolio Roadmap, and RAIDDA Log
  • With the Portfolio Managers develop and maintain Key Performance Indicators (KPI’s) for the Portfolio, and highlight areas where Corporate Objectives & Imperatives could be better supported
  • Evaluate and help to implement Portfolio Dashboards & Reports to provide data analysis, business intelligence insights and aid decision making
  • Work closely with the Portfolio Managers, chairing workshops and brainstorming sessions to increase support and drive improvement
  • Supervise administration of the PPM tool
  • Take ownership of the Benefits Register, ensuring it is maintained and any risks flagged for action
  • Support the Portfolio Office Manager in providing an ongoing Health Check of the Portfolio on behalf of the Portfolio Managers by helping to assess its continued ability to meet corporate objectives and imperatives and remain aligned with strategic goals
  • Support the Portfolio Office Manager in providing a capacity planning and resource tracking service across the entire portfolio, including internal and external resource utilisation
  • Support the Portfolio Office Manager in developing, maintaining, and enforcing the Reporting Standards across the Portfolio
  • Deputise for the Portfolio Office Manager as required

Delivery Support Services

  • Ensure that Programmes and Projects are provided with the appropriate level of PMO Analyst support
  • Ensure that Programmes and Projects are set-up and mobilised in the appropriate manner and follow best practice
  • Work closely with the Delivery Manager and Project Managers as required. Chairing workshops and brainstorming sessions to increase support and drive improvement
  • Ensure that Programmes and Projects are following the latest governance and escalate to the Portfolio Office Manager when this is not the case
  • Provide support and guidance to the PMO Analysts
  • Lead ad-hoc audits on projects and programmes as directed by Portfolio Managers, peer reviews and other assurance activities
  • Support 3rd party instigated audits

Centre of Excellence

  • Drives the culture of documenting and applying lessons learned
  • Key communicator and educator, ensuring proactive two-way engagement with the Delivery team
  • Supports Maturity Assessment and Framework Development
  • Drives template & toolset development
  • Evaluates and helps to implement process improvements

About You

The successful candidate will be a proficient daily user of the MS Office Suite (Word, Excel & PowerPoint, etc.). You will be an excellent communicator and be comfortable engaging with different audiences including senior management. You will have exceptional attention to detail and excellent organisational skills. You are analytical, can scrutinise and challenge data & reports with ease, alongside data modelling and visualisation. You are familiar with project and programme lifecycles and associated issues and problems and have a track record of provision of support to portfolios, programmes, and projects. You will have working knowledge of using MS Project and Power BI alongside Waterfall and/or Agile/Scrum based programmes/projects.

Ideally the successful candidate will have line management experience and a relevant formal qualification such as PRINCE2 and MSP (/MOP/P30). Having prior knowledge of Daptiv would also be advantageous.
